About the Role

We’re hiring an Operations Associate with hands-on experience inside an ecommerce, lifecycle, retention, or growth marketing agency. You understand how agency pods work, how deliverables move, and how to keep cross-functional teams organized and on track.

In this role, you’ll support the Operations Manager and founder across agency operations—helping manage ClickUp workflows, billing, HR coordination, documentation, and internal systems. Over time, you’ll take on larger responsibilities with a clear path toward deeper operational ownership as the company scales.

Key Responsibilities

Agency and Operational Execution
  • Support daily agency operations across administrative, financial, legal, and internal workflows.

  • Manage ClickUp across pods, including task hygiene, deadlines, dependencies, and cross-functional coordination.

  • Maintain internal SOPs, documentation, and repeatable workflows.

  • Identify operational bottlenecks and partner with the Ops Manager to create scalable systems and process improvements.

  • Collaborate with the team to improve operational efficiency across lifecycle, email/SMS, and automation workflows

Financial and Legal Operations
  • Assist with client billing and invoicing, ensuring accuracy and timely follow-up.

  • Support expense tracking, bookkeeping coordination, and vendor payouts.

  • Organize and maintain legal documentation including NDAs, MSAs, SOWs, and vendor agreements.

  • Use AI tools for first-pass contract reviews, risk flagging, and summarization.

  • Help maintain systems for tracking contracts, renewals, and compliance documentation.

Executive and Team Support
  • Support calendar management, meeting prep, and coordination for the founder.

  • Assist with inbox triage, including tagging, summarizing, drafting responses, and building templates.

  • Help manage onboarding for employees and contractors, including equipment procurement, training materials, and account setup.

  • Support HR operations including documentation updates, celebrations and gifts, and culture-building activities.

  • Assist with internal and external event coordination such as team offsites, travel, and industry events.

Systems, Tools, and Automation
  • Own and refine internal operational tools including ClickUp, Notion, and key dashboards.

  • Partner with leadership to build AI-driven workflows that improve efficiency.

  • Identify opportunities to automate manual tasks and streamline agency processes

Ideal Candidate

Required
  • 3–5+ years experience in operations or project management within an ecommerce, lifecycle, retention, or growth marketing agency.

  • Strong understanding of agency workflows, pods, and client deliverable structures.

  • Hands-on experience with ClickUp (or Asana/Monday/Notion) managing multi-team workflows.

  • Highly organized with strong systems thinking and attention to detail.

  • Strong written communication and comfort working EST hours.

  • Proactive, resourceful, and able to operate autonomously in a fast-moving environment.

  • Tech-forward mindset with experience using tools like ChatGPT to optimize workflows.

Preferred
  • Experience supporting lifecycle or retention teams (email/SMS, Klaviyo, automation).

  • Familiarity with ecommerce platforms and martech tools.

  • Comfort with basic financial operations (invoicing, expenses, vendor payouts).
